We are seeking a full-time, on-site Human Resources Executive to join our busy HR & Payroll team in Marsa, Malta, answerable to Head of Corporate Affairs & HR. The selected candidate will be responsible for providing comprehensive HR services to specific Malta-based subsidiaries, implementing duties relating to the entire employee life-cycle of assigned teams – from recruitment to off-boarding in strict compliance with employment legislation, HR best practices and ISO 9001:2015 standards.

The duties include:

  • Taking responsibility for implementing operational HR services for subsidiary company Salvo Grima & Sons Limited and C&C Technique Limited;
  • Carrying out HR-related processes relating to the entire employment life cycle of Ship Supply and C&C Technique teams, starting from recruitment and onboarding to offboarding, ensuring staff wellbeing across the board;
  • Ensuring full compliance with all employment, Health & Safety and personal data protection legislation and ISO 9001-2015 standards, as well as following HR best practice and good governance;
  • Working closely with the Group HR Payroll & Benefits, Talent Acquisition, Finance and Health & Safety officials as necessary;
  • Creating HR support files, updating sick leave records, verifying time & attendance data, collating data and uploading documents in the relevant HR software systems, especially Shireburn Indigo;
  • Compiling and submitting forms to Jobs Plus, Identita’ and other governmental departments as required in line with Maltese legislation;
  • Compiling and submitting work permit applications, transfers and renewals as required;
  • Maintaining structured digital and physical filing systems for HR records, contracts and enforcing policies;
  • Coordinating Training activities and applying for the relevant EU funding where possible;
  • Reporting accurately and clearly on activities undertaken
  • Carrying out any other task which may be reasonably required in this position.

The ideal candidate would be:

  • Excellent interpersonal and communication skills;
  • Ability to handle confidential information with integrity;
  • Accuracy and attention to detail;
  • Experience with Shireburn Indigo and payroll services;
  • Proficiency in Human Resources (HR) procedures and best practices
  • NVQ Level 5 education level or equivalent;
  • At least 3 years’ of relevant experience in HR or Payroll;
  • Proficiency in written and spoken English is essential;
  • Spoken Maltese would be an asset.
