The duties include:
- Perform daily administrative tasks to ensure the efficient operation of the office;
- Handle basic accounting duties, including invoicing, processing payments, and maintaining financial records;
- Process payroll, ensuring accuracy in employee payments, deductions, and statutory compliance;
- Maintain, review, and reconcile employee timesheets to ensure accurate working hours, attendance, leave, overtime, and other payroll-related adjustments before payroll processing;
- Manage petty cash, including disbursements, reconciliations, and maintaining accurate records;
- Assist with accounts reconciliation and expense tracking;
- Provide legal administrative support, including document preparation, compliance tracking, and liaising with legal representatives;
- Support trade marketing activities, including market research, promotional planning, and coordinating trade events;
- Prepare and maintain spreadsheets, databases, and financial reports;
- Communicate with suppliers and clients to ensure timely payments and resolve any inquiries;
- Manage marketing budget – reconciliation & implementation plan;
- Manage emails, schedule appointments, and organise office files and documents;
- Support other departments with administrative tasks as required;
- Maintain and update records to ensure compliance with company policies.
The ideal candidate would be:
- High School diploma required; a diploma or degree in Accounting, Business Administration, Marketing, or a related field is an advantage;
- Previous experience in an administrative, payroll, accounts, legal, or trade marketing-related role is preferred;
- Familiarity with bookkeeping software, legal documentation, or marketing tools is a plus;
- Strong organisational and time management skills;
- Basic knowledge of accounting principles, financial procedures, payroll processing, petty cash management, legal administration, and trade marketing strategies;
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software;
- Attention to detail and accuracy in handling financial records, legal documentation, and marketing tasks;
- Ability to multitask and meet deadlines effectively;
- Excellent written and verbal communication skills;
- Ability to work independently and collaboratively within a team;
- A proactive and problem-solving mindset.
