ADMINISTRATOR – SHIP SUPPLY

We are seeking an Office Administrator to join our Ship Supply Team and assist with the day to day running of the department. 

The duties include:

  • Order fresh fruit and vegetables from approved local suppliers according to company requirements
  • Update and maintain vessel schedules and berth planning information in the relevant systems and spreadsheets.
  • Print Purchase Orders and distribute them to the relevant departments when required.
  • Prepare and organise documentation required for Customs processing.
  • Ensure Customs Duty invoices are correctly stamped and filed in accordance with company procedures.
  • Maintain accurate records of Customs-related documentation and support audit requirements.
  • File, scan and archive operational and administrative documents.
  • Liaise with suppliers and internal departments regarding routine administrative matters.
  • Perform general data entry and maintain accurate records.
  • Provide administrative support during weekends or outside normal working hours when operational requirements or vessel schedules require it.
  • Assist with other administrative duties as assigned by management.

The ideal candidate would have:

  • Previous experience in an administrative or office support role is preferred.
  • Secondary level of education (post-secondary qualifications will be considered an asset).
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Good organisational skills and attention to detail.
  • Ability to prioritise routine tasks and meet deadlines.
  • Good written and spoken English; proficiency of the Maltese language is considered an asset.
  • Ability to work on own initiative
